How to run a successful sangh meeting

To ensure effective sangh meeting, consider the following steps: –
Before the meeting:-
- Talk to Sanghrakshak / Sevak about the Sangh meeting and confirm their availability Also discuss any team members’ achievements or good work for celebration during the meeting.
- Take the leader’s agenda if any or inform agenda for the meeting of all team members. (Sequence-wise) -refer to Revise SOP
- Note down team members’ names if anyone has a birthday, marriage any good news. for birthday data you may connect with the time office.
- Arrange mug pots for the team members according to the list.
- Once everything is confirmed, share the meeting details (date, time, and place) with everyone through WhatsApp, email, in the morning meeting, etc.
- Share the agenda with all team members (refer revise Sangh meeting SOP).
- Send two messages to the group: -First, update the task manager before the meeting. Second, encourage them to come up with ideas related to the agenda.
- Ensure the meeting venue is away from the workplace.
On the day of the Sangh meeting: –
- Remind team members about the meeting during the morning session / WhatsApp.
- Summarize other suggestion pointers as came up by team members.
- Inform the canteen for the refreshments.
- Share the final sequence of the agenda with the leader and then with the team members.
- Check Task Manager for the MOM updating.
- If any team members haven’t updated the MOM, remind them in the group.
- Take a printout of the updated MOM.
- Take print agenda copy.
- Arrive at the meeting place at least 5 minutes early to check everything is ready. (Place, network, sitting area, etc.)
- Ensure team members sit in a circle.
- Request to all please take your place and before starting the meeting please close your eyes and take a small breath to focus their energy.
- Note down team members’ attendance.
- Begin the meeting by reviewing the minutes from the previous month.
- Welcome any new members with a round of applause.
- As cover the agenda, ask the team if they have any additional ideas. Discuss them if needed and close them properly.
